When you enquire about or engage our services, we may also collect business details such as your business name, ABN, address, contact person details, and the names and email addresses of your staff where required for account provisioning. We may also handle system credentials and configuration information required to deliver services, in accordance with our internal data handling procedures. Billing and payment details may be processed through Xero for invoicing and payment administration.
We do not knowingly collect personal information from individuals under 18 years of age. We do not collect payment card details directly. We do not collect sensitive information such as health, financial, or government identity information unless it is directly required for a specific service and you have provided explicit consent.
We collect personal information directly from you when you complete forms, request a quote, sign an agreement, communicate with us by email or phone, or otherwise provide details to us. We may also collect information automatically through analytics tools when you browse our website. In limited cases, we may receive information from third parties where you have authorised that sharing, such as from a referral partner.
We use personal information to respond to enquiries, prepare proposals and quotes, deliver the services you have engaged us to provide, provision software accounts and cloud systems, manage invoicing and payments, communicate with you about your engagement, meet legal and record-keeping obligations, and improve our website and services using aggregated analytics data.
Your information is not sold, rented, or traded to third parties. We do not use your personal information for direct marketing without your consent.
We may disclose personal information to selected third parties where necessary for service delivery or legal compliance. These may include Pax8 for software licensing fulfilment, Microsoft for Microsoft 365 and related services, Xero for invoicing and payment processing, subcontractors engaged under confidentiality obligations, professional advisers such as accountants or solicitors, and regulatory bodies or law enforcement when required by law.
We do not disclose personal information to other third parties without your consent unless required or authorised by law.
Some service providers used by AdogaX Solutions may process or store information outside Australia. Where this occurs, we take reasonable steps to ensure that those providers maintain privacy protections consistent with Australian legal expectations.
Client contact information is stored within our Microsoft 365 environment, including SharePoint and Outlook, with access controls and multi-factor authentication in place. Client credentials are stored in our business password vault, secured with strong encryption and MFA. We do not store client data on personal devices, unencrypted local storage, or personal cloud accounts.
We take reasonable technical and organisational steps to protect personal information from unauthorised access, disclosure, alteration, or destruction.
We retain client records for 7 years from the end of the engagement in line with standard business record-keeping obligations, after which they are securely deleted. Archived client credential records are retained for 12 months post-engagement and then permanently deleted.
Our website may use cookies and similar technologies to support website functionality and collect analytics data. Essential cookies may be used where required for the operation of the site. Analytics cookies may also be used to help us understand how visitors use the website, such as which pages are visited and how long people spend on the site. You can manage cookies through your browser settings, although disabling cookies may affect how some parts of the site operate.
Under the Australian Privacy Act, you may request access to the personal information we hold about you, ask us to correct inaccurate or incomplete data, request deletion of information we hold about you where appropriate, or make a complaint about how your information has been handled. If we experience a data breach that is likely to result in serious harm, we will comply with our obligations under the Notifiable Data Breaches scheme, including notifying affected individuals and the Office of the Australian Information Commissioner where required by law. Our internal policies also require breach identification, containment, assessment, notification, and documentation.
We may update this Privacy Policy from time to time. The current version will be published on our website. This policy is reviewed annually or whenever our data handling practices materially change. Continued use of our website or services after an update indicates acceptance of the revised policy.
